Daily Payroll Entry

Daily Payroll Entry window

Most labor contractors use the Daily Payroll Entry window, which allows payroll data to be entered in any order from your crew sheets.  Here are some of the key features of the Daily Payroll Entry window:

  • The crew number can be recorded on each entry, making it possible to track employees that work on multiple crews in the same week.

  • On a network, you have have multiple users entering payroll data at the same time.  Each users entries are kept separate by the user name and crew number that they are entered under.  Reports can be printed individually for each user.

  • Default entries can be made which reduce the amount of data entry that needs to be done.  Information will repeat from line to line so you don't have to retype it.  Default entries can be saved and each user may have his or her own default settings.

  • Five different reports are available, each with several options, to assist you in checking over your entries.

  • During payroll entry, warnings are provided if the employee is not currently active, has an expired alien registration number, or doesn't make minimum wage.

  • Additional minimum wage checking is done on reports and when checks are created.

  • After verifying that your entries are correct, you are ready to create checks for printing.  The program can create checks for specific crews, or for entries made by a particular user.

  • You can begin entering information for the next pay period even before you've finished processing the current week's payroll.  When creating checks, the program will only process entries that fall in your pay period dates, leaving next week's entries in the file.

  • The entries in the daily payroll window may be displayed in entry order, account number order, date order, or crop order.

  • Use Crew Sheet Numbers to group entries together for each crew sheet you enter.  Reports can then be printed by Crew Sheet #.

  • Deduction amounts can be entered on a daily basis (for instance, advances given out daily).

  • Print weekly or daily crew sheets from The Labor Contractor's Office then use the Crew Sheet Wizard to quickly enter the data.
