Automatic Billing
Datatech's Automatic Billing module streamlines the
process of repetitive billing and handles complex billing arrangements.
The Automatic Billing module can be used by any company that provides ongoing
service to their customers and needs to generate invoices on a regular schedule
to bill for their services. Examples of the kinds of companies that can
use this system include:

A security company that bill business and residential
customers monthly for it's alarm monitoring service.

A waste disposal company that bills it's customers each
month for garbage pickup.

A public utility that must bill residential and
commercial customers each month.

A software company that bills customers annually for
software support services.
You
may set up each customer account with multiple billing items. Each item
may have it's own billing cycle, so it's easy to have some services billed
monthly while other services are billing quarterly or annually. In
addition, each item may be credited to a different income category on the
general ledger. Amounts for different items may also be combined in cases
where you may want to show one amount being billed to the customer on the
invoice, but you need to credit the income to different general ledger accounts.
When it comes time to bill your customers, you can select
a single billing ID to create invoices for, or bill all services at once.
A trial report lets you preview the invoices that will be generated before
creating a final invoice batch. Invoices can be printed out using a
standard blank paper invoice format, or we can customize the invoice to print on
a form that you are already using. As an example, some customers have a
postcard-size bill that they mail to customers. Automatically generated
invoices can also be emailed to customers as PDF attachments.
The Automatic Billing system can be
customized further if you have specialized requirements.
